AI workforce management for Cloudbeds properties.
HotelCadence is a workforce management platform for hotels: it reads the reservation data already in Cloudbeds (via the Cloudbeds REST API, read-only) and turns it into hourly demand forecasts per department and auto-drafted rosters your managers approve. Hotels cut 6–12% of labor cost without cutting guest service — and nothing writes back into Cloudbeds.

Phuket, 85 rooms: breakfast staffed to the pickup, not to “safe”
Phuket heads into 2026 with roughly 15,000 unfilled hotel and tourism positions, so this beach hotel could not simply hire its way past demand swings. Breakfast ran five staff every day “to be safe” while OTA-driven arrivals swung the real need between three and seven. The pickup predicting each swing was already in Cloudbeds, the roster just never saw it.

The workforce management layer on top of Cloudbeds
Three modules on one read-only data feed, measured against your own baseline. Labor runs 32.4% of hotel revenue (CBRE, US benchmark); demand-matched scheduling recovers 6–12% of it.

Read-only API connection · counts and dates only, no guest-identifying data · revocable from your Cloudbeds dashboard at any time.
Approve the connection
Your Cloudbeds administrator approves HotelCadence’s read-only API connection from the Cloudbeds dashboard, a ten-minute task, no IT project, revocable at any time.
Backfill and calibrate
HotelCadence pulls up to two years of Cloudbeds reservation history and calibrates daily and hourly demand forecasts per department against your own actuals, including OTA short-lead pickup patterns.
Go live and measure
Forecasts refresh as pickup changes and draft rosters flag shifts that no longer match demand. Managers approve everything, and results are measured monthly against your agreed baseline.
Cloudbeds integration questions, answered
How long does a Cloudbeds integration take?
Approving the read-only API connection takes about ten minutes in the Cloudbeds dashboard; most of the setup is backfilling reservation history and calibrating forecasts against your actuals. Integration is included in the 90-day pilot (from US$7,500).
Is HotelCadence listed on the Cloudbeds marketplace?
Certification listing is in progress. The connection itself uses Cloudbeds’ documented REST API with a read-only scope your administrator approves and can revoke, so nothing about setup or sync depends on the marketplace listing.
Most of our bookings are OTA and short-lead, can you still forecast staffing?
Yes, that is the case the system is built for. OTAs take 77.9% of reservations in Indonesia (Cloudbeds 2026 report) and SEA lead times are short, so HotelCadence re-syncs pickup every 15 minutes and re-forecasts daily. Rosters flag the shifts that stopped matching demand instead of waiting for next week’s spreadsheet.
We are an 80-room independent, is HotelCadence too big for us?
No. Software is from US$6 per scheduled employee per month and the fixed-scope pilot is from US$7,500, credited on rollout. An 80-room property mis-staffing 6-12% of its labor line typically leaks more than that in a quarter, the labor savings calculator puts a number on it before you talk to anyone.
We are mid-migration to Cloudbeds, should we wait?
No. We connect as soon as Cloudbeds is live and backfill history from your previous PMS export, so forecasts start with years of context rather than weeks. Many properties use the pilot to validate the migrated data.
Does HotelCadence write anything back, and where does the data live?
Nothing is written back, the connection is strictly read-only, and rates, reservations and guest profiles are never touched. We read counts, dates, rates and sources, not guest-identifying data. Hosting is in-region, with Singapore as the default APAC residency.
