Hotel workforce management · HotelKey integration

AI workforce management for hotels on HotelKey.

HotelCadence is workforce software for hotels: it forecasts how busy each department will be, hour by hour, builds the roster to match, records worked hours and prepares payroll. It reads the bookings already in HotelKey and turns them into forecasts per department and draft rosters your managers approve. Hotels cut 6–12% of labor cost while guest service holds. HotelCadence only reads from HotelKey; it never changes anything there.

Phoenix, 140-room extended-stay hotel: one week of housekeeping demand HotelKey already saw

An extended-stay hotel rostered nine attendants every day. Weekly cleans for long-stay guests landed on the same Monday the short-stay departures peaked, and the two quiet midweek days paid for four idle attendants. HotelKey already held both the stay lengths and the departure dates.

Setup

Go live in three steps

HotelCadence only reads · counts and dates only, no guest names or payment details · your HotelKey administrator can switch it off at any time.

  1. 1

    Authorize read-only access

Your HotelKey administrator switches on a read-only connection, limited to the properties you start with. New and changed bookings reach HotelCadence as they happen. HotelCadence only reads; it never changes anything in HotelKey.

  2. 2

    Load history and check accuracy

HotelCadence loads up to two years of booking history from HotelKey and checks its daily and hourly forecasts per department against what your hotel recorded, so accuracy is proven on your own numbers before anyone rosters against it.

  3. 3

    Go live and measure

Forecasts refresh as bookings change, and draft rosters flag shifts that no longer match demand. Managers approve every roster, and you measure results monthly against the starting point you agreed.

HotelKey integration questions, answered

How long does a HotelKey integration take?

The one step that sets the pace is your HotelKey administrator switching on the connection; loading history and checking forecast accuracy run alongside it. The connection is part of onboarding, and we confirm how your installation connects before you commit to anything.

Which HotelKey systems does HotelCadence connect to?

HotelKey is a cloud property management system, the software a hotel front desk uses to hold bookings, stay lengths, departures and group bookings, and the system HotelCadence reads to forecast demand per department. HotelKey connects live, and new or changed bookings reach HotelCadence as they happen. Stay length, departure dates and group bookings feed the forecast, which matters for extended-stay properties where weekly cleans drive housekeeping as much as departures do.

We run multiple outlets, banquets and a spa, can you staff more than rooms?

Yes. Occupancy, arrivals and covers drive per-department forecasts: front office, housekeeping, each F&B outlet, stewarding, spa. Every department gets its own hourly demand line and its own draft roster, approved by its own department head.

Does HotelCadence change anything in HotelKey?

No. HotelCadence only reads. Rates, bookings, guest profiles and group bookings in HotelKey are never touched. Forecasts and draft rosters live in HotelCadence, where managers review and approve them.

Where does our data live, and what about guest privacy?

HotelCadence needs counts, dates, rates and guest segments, never guest names or payment details. Data is hosted in your region, with Singapore as the default for Asia-Pacific and dedicated options for chains of 10 or more properties.

Part of our group runs OPERA Cloud, Mews or Shiji, can one roll-out cover both?

Yes. Each property connects through its own system, HotelKey here, OPERA Cloud, Mews, Cloudbeds or Shiji elsewhere, and the whole group rolls up into one view with the same per-department, per-hour forecasts and one measurement method. See the hotel chain software page for the group layer.
