Hotel workforce management · RMS Cloud integration

AI workforce management for properties on RMS Cloud.

HotelCadence is a workforce management platform for hotels and parks: it reads the reservation data already in RMS Cloud (via its REST API, read-only) and turns it into demand forecasts per department and auto-drafted rosters your managers approve. Properties cut 6–12% of labor cost without cutting guest service — and nothing writes back into RMS.

Worked example

Gold Coast holiday park: Friday arrivals triple midweek, the roster didn't know

A park with cabins and powered sites rostered guest services flat at six. Friday's check-in surge, three times a quiet Tuesday, queued the office and the boom gate, while midweek paid for staff with no arrivals to process. The arrival counts predicting it, cabins and sites alike, were already in RMS Cloud.

Setup

Go live in three steps

Read-only API credentials · counts and dates only, no guest-identifying data · revocable in RMS at any time.

Step 1

Issue read-only API access

Your RMS Cloud administrator issues read-only REST API credentials scoped to the pilot properties, a short task guided by our onboarding team, revocable at any time. Nothing writes back to RMS.

Step 2

Backfill and calibrate

HotelCadence pulls up to two years of RMS Cloud reservation history and calibrates daily demand forecasts per department against your own actuals, blended with signals like school holidays, events and day of week.

Step 3

Go live and measure

Forecasts refresh as bookings change and draft rosters flag shifts that no longer match demand, including weekend penalty-rate hours. Managers approve everything, and results are measured monthly against your agreed baseline.

RMS Cloud integration questions, answered

How long does an RMS Cloud integration take?

Your RMS administrator issues read-only API credentials; most of the setup is backfilling reservation history and calibrating the forecast against your actuals. Integration is included in the 90-day pilot (from US$7,500).

We run holiday parks, cabins and a city hotel, does one platform cover all of it?

Yes, and RMS Cloud is exactly why: sites, cabins and rooms all live in the same reservation stream, so guest services, housekeeping and grounds each get their own demand forecast and draft roster, and the whole portfolio rolls up into one view.

Most of our staff are casuals on award rates, does scheduling account for that?

That is where the saving concentrates. Weekend and public-holiday penalty rates make the peak hours the most expensive ones on the roster, so matching casual hours to the real arrival and departure counts, instead of a flat pattern, is worth the most exactly when labor costs the most.

Does HotelCadence write anything back into RMS Cloud?

No. The API credentials are read-only and nothing is written back, rates, reservations and guest details in RMS are never touched. Forecasts and draft rosters live in HotelCadence, where your managers review and approve them.

Where does our data live, and what about guest privacy?

HotelCadence needs counts, dates, rates and segments, no guest-identifying data is required for forecasting or scheduling, consistent with Australian Privacy Principles. Hosting is in-region.

Some of our properties run a different PMS, is that a problem?

No. RMS Cloud properties connect via its REST API, Satin properties via scheduled exports, cloud systems like Mews or Cloudbeds via their own APIs, and everything rolls up into one portfolio view with the same per-department forecasts.
